Soft Answers Ltd (“we”, “us”, “our”) is the Data Controller for the information you provide. We are committed to protecting your privacy in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

   We collect your name, email address, phone number, country, and the details of your need that you voluntarily provide in this contact form.
2. Why we need it and the legal basis
   We use this information solely to respond to your enquiry, provide the information or service you have requested, and to keep a record of our communication. Our legal basis for this processing is our Legitimate Interest (Article 6(1)(f))in communicating with prospective clients and managing our business development activities. For current clients and where you are requesting a quote for a specific service, the lawful basis may be for the Performance of a Contract (Article 6(1)(b)).
3. How long we keep your information
   We will retain your enquiry data for no longer than is necessary to fulfil the purpose for which it was collected. We have a default retention period of 24 months after our last communication. After this period, your information will be securely and permanently deleted.
4. Who we share your information with
   We do not sell or rent your personal data. We will only share your information with third parties where it is necessary to manage your enquiry (for example, with our email hosting provider or a secure CRM system). All our data processors are bound by strict data processing agreements in compliance with UK GDPR.
5. How we protect your information
   We have implemented appropriate technical and organizational measures to ensure a level of security appropriate to the risk, in line with our ISO 27001-certified information security management system. This includes encryption of data in transit and at rest, access controls, and regular security reviews.

   Under UK GDPR, you have the right to access, rectify, or erase your personal data, restrict or object to its processing, and the right to data portability. You can withdraw your consent for future communications at any time.
